On-Campus Job description:
Under the supervision of the Communications Publications Editorial Manager, the Scheduling Assistant will assist in the day to day operations of the Office of Communications (OC) at the President’s Office.
Primary responsibilities:
Coordinating and facilitating daily procedures of the OC by:
o Attending team meetings and writing, sharing, and archiving the minutes
o Maintaining all editorial/production calendars
o Answering emails (phone, as needed)
o Handling inquiries received via email and/or phone
o Quickly directing messages to appropriate team members
Provide the campus community with efficient and courteous information related to the OC.
Schedule/Reserve locations, spaces, and resources (equipment) for interviews, video/audio recording sessions, and events to be covered by the OC.
Coordinate and schedule meetings for the Director of Communications.
Maintaining an organized archive of visual materials (photos, videos) accessible to all in the OC and the Office of the President.
Assist in the check-out/in of loaned equipment, as needed.
Keeps all information confidential.
Collaborating with a cross-functional team of writers, editors, graphic designers, creative directors, and other administrative personnel.
Adhere to the President’s Office protocols, including the archiving of release forms from featured/recorded individuals from the College.
Other duties as assigned by Communications staff.

Skills required or requested:
Excellent oral and written communication skills.
Near-expert competency using Microsoft Suite software (Word, Excel, etc.).
Excellent organizational abilities and the capacity to meet multiple deadlines.
Preferred Qualifications:
6+ months of experience as an Office Assistant/Manager

Desired Schedule:
10 a.m. to 2/3 p.m. We're willing to negotiate hours as long as student's available on Mondays at 10 a.m. for team meetings. |
